A: Leaving the Mail Merge process itself out of the discussion, Word can take several different file formats as mailing lists. Usually, they're in Excel or Access, but another Word file is also possible. In general, separate your fields (first name, last name, the typical parts of the address) with a specific character that won't normally occur in any of your text. A tab character or a semi-colon might do. A blank will probably not work. Then, put each record (one name and address) on a single line. I would suspect and hope Mail Merge will accept a single paragraph, but I'm not sure. When Mail Merge asks you for the Data Source, find and select this file. You'll be asked about the field and record delimiters, and you'll select the ones you set up above. A word of warning. You'll get the best use out of this if you re-use the list year after year, adding and subtracting names each year. The first year, with all the set up, is always the hardest. The payback comes after that. Good luck.

A: The best way would be to save the names and addresses to an Excel table, and create the letters and labels separately though mail merge, with both documents pointing to that Excel file as the data source. That way you can load and save just the letters, and then do the labels later, but from the same source information.

Q: Printing christmas card labels?
Since last christmas I changed my printer from a Canon to HP deskjet, all was OK last year. The label sheets print OK but don't line up with the template. The label maker DECAdry provide a template for the labels the file for which is held in an Avery wizard inserted in Word 2000 which also contains the label details. I have checked template in the tools menu and it seems OK. It isn't just the top spacing, label spacing is wrong too.Can anyone help as I have a few hundred cards to get out next week?

A: I have same problem. It's a mechanical problem to do with the way the label paper goes through the printer (it's thicker) and printing starts at a different spot. The only workaround I have found is to use a small print area on each label and wide margins for error. HP don't seem to understand the problem as they simply suggest setting the top of page margin. I have researched this on the www and nobody yet has the perfect answer

If any. No offence taken if you prefer proper posh christmas cards. Personally i've been buying Unicef ones for about 5 years now. They're not cheap but i don't need many and they are good quality with very cheerfull prints. How about you?

A: No offense but I prefer to donate directly to the cause, not buy stupid things where only like half or not even of the proceeds go to charity just so I can show people that I donated. If you were all so righteous, why don't you make sure 100% of your proceeds go to charity? Why do you need something that says you donated half of your money?
